Business ecosystem β a jargon-free definition
A business ecosystem is a set of connected systems, tools and processes that together serve the entire company. Key word: connected.
Most companies have tools. They have a CRM, Excel, email, an invoicing system. The problem is these tools don't talk to each other. Data lives in silos. People are the interface between systems β they copy, paste, call.
An ecosystem is when data flows automatically. An order from email goes to CRM, generates a quote, triggers production and creates an invoice β without human intervention in between.
Why Excel is not a system
Excel is brilliant. For prototyping, one-off analyses, small teams. But when a company grows, Excel becomes a problem:
If your company has more than 3 Excel files that "need to match" β that's a sign you need an ecosystem, not another spreadsheet.
No single source of truth
File "pricelist_final_v3_NEW(2).xlsx" on John's drive. Who has the current version? Nobody knows. In an ecosystem there's ONE price list and everyone reads from the same place.
No automation
Excel won't send an email. Won't update inventory. Won't generate an invoice. Every operation needs a human. An ecosystem does it automatically.
No access control
Who changed the price in cell B47? When? Why? In Excel you don't know. A system logs every change and who made it.
What makes up an ecosystem
Every business ecosystem has three layers:
- βData layer β one place where information lives (clients, orders, products, prices)
- βAutomation layer β rules that say "if X then do Y" (new order β quote β invoice)
- βInterface layer β dashboards, panels, apps through which people see and control the process
It's not about one massive piece of software. It's about making your existing tools (ERP, email, shop, warehouse) talk to each other through APIs and automations.
What an ecosystem looks like in practice
Instead of theory β three real examples from our implementations.
Label print shop (labelso.com)
BEFORE: Email inquiry β manual quote β manual preflight β sticky note on production β manual invoice. AFTER: Email β AI quotes β auto preflight β production dashboard β invoice generated automatically. Order handling time: β80%.
Window company (PerfectKozijnen)
BEFORE: Client calls β salesperson calculates in Excel β emails to subcontractors β contract in Word β manual translation. AFTER: Online configurator β subcontractor auction β contract in client's language β e-signature. From inquiry to contract: 1 day.
Cleaning services (willbeclean.dk)
BEFORE: Orders by phone β schedule in someone's head β report on paper. AFTER: Order in system β auto-dispatch β mobile app β report and invoice. Order growth: +40% without hiring.
How to start building an ecosystem
You don't need to replace everything at once. Start with:
1. Identify the main data flow in your company (from order to invoice) 2. Find places where a human is the interface (copies data, calls for status) 3. Connect the two most important systems (e.g., shop with warehouse) 4. Add more connections iteratively
